We understand that the lead-up to the handover of an existing Owners Corporation is vital to ensure a continuity of service.

With years of experience in taking over larger buildings, our team will be designated to set up the Owners Corporation to ensure a smooth and seamless transition from the existing Management Company.

Our team will meticulously attend to all aspects of taking over the management, ensuring no record is ever misplaced.

We will not charge any additional fees for setting up your Owners Corporation.

At first, we ensure that all Lot owners are informed of the change of Manager immediately by sending out the welcome pack, which includes information on the appointed OC Management team, an online owner’s portal, and a statement of their Owner’s Corporation fee account.

Parallelly, we meet with the committee to give an update on all aspects of management. At this stage, we would commission an internal audit to investigate any anomalies at the hands of the previous management company.

At this point, if there is a need to request a refund, committee permission may be sought. During the first few weeks, our strata manager may have to work closely with the Committee to prioritise the areas that demand immediate action and establish a suitable governance protocol.

The transition from current OC Manager

To setup up the Owners corporation within our strata management system, the following records must be collected from the outgoing manager. If not, we will try to gather all outstanding records that form part of the OC records.

  • All accounting details, including audited financial statements for all previous years
  • All paid and invoices up to the date of transfer of Owners Corporation funds
  • On the date of transfer of Owners Corporation funds, Year to Date financials, bank reconciliation request, receipt report, cash payment summary and levy balance report for all owners
  • All the tradesman’s contact details, including any warranty or guarantee for works, carried out
  • All property keys (e.g., laundry keys, security door keys, security gate keys), contactors that manage key order requests and the procedure for manually opening the gate
  • The Security Gate remote control code and the contact detail of where they were purchased
  • The details of a backup generator if the power goes off
  • The most recent Owners Corporation Certificate issued
  • Rules registered with Land Victoria and a copy of the Additional Rules, if applicable
  • All copies of notices and minutes of all meetings held by the Owners Corporation
  • Details of resolutions made outside meetings, such as through ballots
  • All legal correspondence, including debt collection
  • All general correspondence
  • All pertinent documents relating to cladding
  • Documentation of building notice/emergency notice of each building after ACP cladding court case. 
  • Sign-offff works have been finished, and notice cancelled
  • Original as build drawings and plans
  • Details of Dispute resolutions and breaches issued
  • What car lots are associated with what units
  • Certificate of Title and Certificate of Occupancy
  • Copies of building contracts and building plans showing the layout of utilities
  • The maintenance plan (for prescribed owners corporations or if necessary) and any pending maintenance issues
  • Insurance Policy, Certificate of Currency and any open insurance claims
  • OH&S, building reports obtained by the Owners Corporation
  • AESMR, Fire engineering reports (FER), Fire Matrix for fire panel, Fire detection and alarm system as installed drawings
  • EWIS or OWS as installed drawings
  • Owners Corporation Essential Services, Fire detection and alarm system including warning system zoned block plans, Fire hydrant block plans
  • Fire sprinkler block plans, Full function fire mode testing results, Fire pump annual service documentation, Fire sprinkler annual flow testing documentation, Fire hydrant annual hydrant testing documentation, Fire sprinkler valve overhaul documentation (only if the building is over five years in age), Fire hydrant five-yearly maintenance documentation including booster pressure testing, mains servicing, Milcox servicing (only if the building is over five years in age), fire and smoke door documentation from Type 2 annual inspection including apartment doors were stated on OP
  • Any outstanding ESM defect quotes
  • All fire equipment maintenance documentation
  • Lift maintenance documentation
  • Air con / Carpark mech vent / Mech air handling – maintenance documentation including fire testing
  • Building egress service documentation
  • Annual building passive inspection
  • Emergency evacuation plans, Emergency procedure manual
  • Records of annual building evacuation drill and minutes from any EPC committee meetings
  • Existing Contracts, License or Lease Agreements binding or benefiting the Owners Corporation
  • The Income and Expenditure Statement, Balance Sheet, General Ledger, a list of debtors and contributions paid and paid in advance

 

We will take the initiative in compiling documentary evidence in support of the owners corporation’s claim for compensation for any material breaches at the hands of all contractors including previous management company.
